Who we are
DentInvoice is run by Daniel Da Silva, a sole trader in the UK, who is responsible for your personal data (the "controller"). Questions about this notice or your data go to hello@dentinvoice.co.uk. Registered with the Information Commissioner's Office, number ZC259653.
What we collect
- Your account: your email address, and your password, which is stored only in scrambled form.
- Your details: your name, trading name, UTR, VAT number, home address, and the names and addresses of the practices you work at.
- Your work records: the days you log, hours, fees, treatments, NHS counts, invoices, what practices paid and queried, expenses and mileage, and any receipt photos you add, kept privately where only you can open them.
- Your subscription: your plan and its status. Card details are held by Stripe, our payment provider. We never see them.
- Free trial checks: a scrambled, one-way fingerprint of the email address and UTR used for each free trial, to stop trials being used more than once. It can't be turned back into the email or UTR.
- Why you didn't continue: if your free trial ends and you tell us what stopped you, we keep that answer and any note with it.
- Invitations: if you join through a colleague's invite link, we note who invited you, so they get their free month once you start paying. The person who invited you only ever sees how many people joined, never who.
- Address lookups: when you pick a suggested address, we note that a lookup was used. We don't keep what you searched for.
- Technical information: our hosting providers record IP addresses and basic device information in their logs, to keep the service secure. If something in the app goes wrong, a report of the error is sent so it can be fixed.
No patient data. DentInvoice is built to hold no information about patients, and you must not enter any.
Why we use it
- To provide the service you signed up for: your records, invoices and tax figures. The legal basis is our contract with you.
- To take payment for your plan, and keep the financial records the law requires. Contract, and legal obligation.
- To stop free trials being misused, keep the service secure and fix faults. Our legitimate interests in running the service fairly and safely.
We don't sell your data, show advertising, or use tracking or analytics services.
Who helps us run it
- Supabase: the database and sign-in.
- Resend: sends the app's emails, such as confirming your email address, resetting your password, and a few reminders before a free trial ends, which you can stop from the link in each one.
- Vercel: hosts the website, and counts visits to it (Vercel Web Analytics) so we can see how people find us. That count uses no cookies, and it isn't linked to you or your account.
- Stripe: takes payments and manages subscriptions.
- Ideal Postcodes: suggests addresses as you type in an address box, so what you type there is sent to them.
- postcodes.io and OSRM (a free route planner built on OpenStreetMap): when you log mileage, the postcodes of your home and your practices are sent to them once, to work out the driving distance. Nothing else is sent.
- Sentry: tells us when something in the app goes wrong, so we can fix it. It receives the error, where in the app it happened, and the type of device and browser. Not your name, email address, figures or anything you type.
They only use your data to provide their service to us. Some of them are based in, or process data in, the United States. Where that happens, the transfer is protected by the UK's data bridge with the US or by the Information Commissioner's approved contract terms.
How long we keep it
- Your details and records: for as long as you have an account. Deleting your account (My account, then Delete your account) removes them straight away. Our database provider's backups can hold a copy for a short time afterwards before it's overwritten.
- Payment records: kept by Stripe, and by us, for as long as the law requires, usually six years.
- Free trial fingerprints: kept after an account is deleted, for as long as we offer free trials. That's what lets them work.
What's stored on your device
The app stores your sign-in, your display settings and a copy of your records on your device, so it opens quickly and works without a signal. These are needed for the app to work. There are no advertising or tracking cookies.
Your rights
You can:
- get a copy of your data: My account, then Your data, downloads everything;
- correct it, in the app or by asking us;
- delete it, by deleting your account;
