About DentInvoice
What is DentInvoice?
DentInvoice is an invoicing and daily log app for self-employed dentists, hygienists, therapists and orthodontic therapists in the UK. You log each working day at each practice in under a minute, and at the end of the month it produces the invoice for each practice, ready to check and send.
Who is DentInvoice for?
Self-employed dentists, dental hygienists, dental therapists and orthodontic therapists in the UK, especially those who work at more than one practice. It handles pay as a percentage of fees, an hourly rate, per appointment, or NHS UDAs at an agreed rate per UDA.
Does DentInvoice work for orthodontic therapists?
Yes. An orthodontic therapist's day is logged by session or hours, with appointments such as bond-ups, adjustments and debonds counted alongside. If a practice pays per appointment instead, each appointment has its own rate and the invoice adds them up.
Can I log my day by voice?
Yes. With Quick log turned on, you type or say the day in a sentence, such as "Riverside, 9 patients at £40, 2 airflow", and the day fills itself in for you to check and save. It uses your phone's own speech-to-text, and also understands days off, such as "holiday 13 to 16 October".
Can DentInvoice take lab fees off my invoice?
Yes, for dentists whose deal includes lab fees. You set your part of lab bills for each practice, often 50%, and log each bill on the day it belongs to. The invoice lists the bills and takes your part off, so its total matches what the practice pays.
Read the guide ›How much does DentInvoice cost?
£5 a month or £50 a year, after a 30-day free trial. No card is needed to start the trial. People who subscribe at this early member price keep it for as long as they stay subscribed.
Does it work on iPhone and Android?
Yes. DentInvoice runs in the browser on any phone, tablet or computer, and can be added to the home screen so it opens like an app. On iPhone, open the site in Safari, tap Share, then Add to Home Screen. On Android, open it in Chrome, tap the three dots, then Install app.
Does DentInvoice store patient details?
No. DentInvoice records days, numbers and fees only: no patient names, initials, dates of birth or NHS numbers. There is nowhere in the app to put them, and spreadsheet imports leave out columns that look like patient data.
Can I send my invoice to the practice from the app?
Yes. DentInvoice can email the invoice as a PDF straight to the practice's saved email address, with a copy to you and replies coming back to your own inbox. You can also save the PDF and send it yourself. A monthly summary can be sent to your accountant the same way.
Does DentInvoice submit my tax return or Making Tax Digital updates?
No. DentInvoice keeps the record of what you earned and spent, and exports it per quarter and for the year so it can go into Making Tax Digital software or to your accountant. It does not submit anything to HMRC itself.
Can I track expenses and mileage?
Yes. Expenses are sorted into the categories used on the self-employment tax return, with common ones such as GDC fees, indemnity, CPD and loupes a tap away. Mileage is worked out at HMRC's flat rate: 45p a mile for the first 10,000 business miles in the tax year, then 25p.
Money and paperwork
Do dental associates and hygienists need to invoice the practice?
Usually, yes, if you are self-employed. Either you send the practice your own invoice for the work you did, or the practice writes the invoice for you under a self-billing arrangement, which you then check. Your associate agreement says which. Either way, keep your own record of every day worked so you can check what you are paid.
Read the guide ›What is a self-billed invoice?
A self-billed invoice is one the practice writes on your behalf for the work you did, instead of you sending your own. It only works if you have agreed to it, and it is still your invoice: check every one against your own record of days, rates and extras.
Read the guide ›How much tax should a self-employed dental associate put aside?
It depends on your profit, your tax band, National Insurance, any student loan and payments on account, so there is no single right percentage. Work it out from profit (earnings less expenses), not from what the practice pays you, and check it with your accountant. The guide has worked examples.
Read the guide ›How do pay splits and lab fees work for dental associates?
Most associates are paid a percentage of the fees for the work they do, with lab bills often shared in the same proportion and taken off. NHS work is usually paid per UDA at an agreed rate instead. That is why your share can look smaller or bigger than the fees on the day.
Read the guide ›What is a UDA?
A UDA is a Unit of Dental Activity, the way NHS dental work is counted in England. A Band 1 course of treatment is worth 1 UDA, Band 2 is worth 3, 5 or 7 (2a, 2b or 2c), and Band 3 is worth 12. An associate is paid an agreed amount per UDA, and urgent appointments are usually paid a flat rate.
How long should I keep my records?
HMRC asks self-employed people to keep records for at least five years after the 31 January filing deadline for that tax year. So work done now needs keeping well into the 2030s. DentInvoice lets you download everything as a spreadsheet at any time.
Using DentInvoice
Can I use it at more than one practice?
Yes, that is what it is for. Add each practice, and each gets its own colour, rate, billing cycle and invoices. Days are logged against whichever practice you pick.
My practice bills 25th to 24th, not by calendar month. Does that work?
Yes. Set the billing cycle once on the practice, and every invoice for it is dated to match. You can still change the dates on any single invoice when issuing it.
I issued an invoice with the wrong dates. Can I redo it?
Yes. Cancel the issued invoice, then issue it again with the right dates. The cancelled one stays on record rather than disappearing. If you already sent the original, tell the practice a corrected one is coming.
I edited a day after invoicing. Why didn't the invoice change?
An issued invoice is a fixed record of what you claimed, so editing a day afterwards can't rewrite it. Cancel and reissue the invoice if it needs to change.
Can I bring in earnings from before I started using DentInvoice?
Yes. You can import an Excel or CSV spreadsheet of past days, or add a total per practice for the period before you joined, so your tax year figures are complete.
I left a practice. Should I delete it?
Usually hide it instead. The days stay on record and still count towards your tax year, and you can bring it back. Only remove it completely if you are sure, and download its record first, because that can't be undone.
